Are there any guidelines for abstract submission?

There is a character limit of 3,500, including spaces. Titles should be in Title Case, but beyond that, the guidelines are open-ended. Abstracts may be divided into intro, methods, results, and conclusions or paragraphs. The most important thing to consider is readability.

Abstracts devoid of results or data will likely be scored lower or rejected by our review committees. ASGCT does not accept abstracts that are overly commercial or proprietary in nature.

Up to 2 images may be included with your abstract. You may combine related images into one .jpeg or .png to upload. Footnotes or labels should be included in these images.

Are encore abstracts allowed?

Encore abstracts are not allowed for submission to the ASGCT unless there is a significant update in the data. Abstracts previously published will need to provide an explanation as to why the abstract should be reviewed by ASGCT (e.g. ASGCT is a significantly different audience compared to initial presentation).

Does ASGCT have a copyright policy?

ASGCT owns the copyright to all abstracts once they are published. Prior to publication, all abstracts are subject to the ASGCT embargo policy. Encore abstracts cannot be submitted to other meetings unless there is a major update to the data.

Do I have to be a member to submit or present an abstract?

No, membership is not required to submit or present an abstract. However, all presenters must register for the event and attend in person.

Is there a limit to how many abstracts an author or company can submit?

No, there is no limit to the number of abstracts anyone can submit. ASGCT advises against submitting salami abstracts. All abstracts should be independent of other submissions.

Can I change my abstract after I submit it?

Submitters may make changes to their submission up until the submission deadline. After the submission deadline, only small changes can be made by ASGCT staff. Changes after the review of the abstracts has begun are not guaranteed. No changes to the abstract body, author block, or title can be made after the withdrawal deadline.

Presenting author changes can still be made until the day before the conference. These changes will only be made in our app. No changes will be made to any published document.

All changes after the submission deadline should be emailed to abstracts@asgct.org with the abstract's tracking number and specifics. The presenting author and last author must be cc’d on all change emails.

I missed the deadline to make changes to my abstract or author block. Now what?

Presenters may update their printed poster or PowerPoint presentation with any changes they see fit, regardless of whether they are included in the published abstract. This includes adding additional authors or adding new information.

How do I withdraw my abstract?

Abstracts may be withdrawn up to 1 week post-notification of acceptance. We highly recommend seeing if a co-author can present your abstract before considering withdrawal. All withdrawal requests should be emailed to abstracts@asgct.org with the tracking number. The presenting author and last author must be cc’d to withdraw the abstract. Withdrawn abstracts cannot be reinstated.

Late-breaking submissions are not eligible for withdrawal.

Abstracts withdrawn after the deadline will only be declined for presentation. They will still be published in the abstract publication and any printed documents already created.

Declining the notification of presentation does not mean your abstract is withdrawn.

Can I register for the meeting or book my hotel room before notifications go out?

Yes, taking advantage of early bird discounts and our discounted hotel rates is highly encouraged. Please refer to each event's registration cancellation policy should anything cause you to need to cancel your registration.

Associate members (students and postdocs) who are first and presenting authors may register for their discounted registration prior to the notification of abstracts as well. Staff will double-check membership and acceptance when finalized and will send out invoices should your first and presenting status or acceptance status change.

Can I change the time or date of my presentation?

No. All times, dates, and presentation types (oral or poster) are final and cannot be changed. If you cannot attend the date or time of the presentation, we recommend seeing if a co-author or colleague can present the abstract in your place. Please send the new presenter’s information to abstracts@asgct.org along with the tracking number of the abstract.

Can I present my abstract virtually?

ASGCT has moved back to in-person events since the COVID-19 pandemic. All abstracts are expected to be presented in person.

If you need help obtaining a visa for your trip, please contact info@asgct.org. We recommend applying for your visa upon submission of your abstract and not waiting for notification of acceptance.

If you need a letter of invitation for your work to sponsor your trip, please visit the event-specific hotel information page to download a fillable event invitation PDF. These items can be obtained at any time, and do not need to wait for notification to begin the process.

I missed the deadline, can I still submit my abstract?

Unfortunately, ASGCT is bound by its deadlines, and exceptions cannot be made for anyone. If you encounter any technical trouble while uploading your final abstract, ASGCT will only honor emails sent before the deadline is reached to allow for submission. We recommend logging in to the abstract portal at least 3 days before the deadline to avoid these problems.

Can I just submit my Annual Meeting abstract during the late-breaking submission?

No. Late-breaking submissions are not an extension of the general submission deadline. All late-breaking submissions will need to provide a rationale as to why their abstract is late-breaking and why they could not submit during the regular submission period.

Abstracts without sufficient rationale will not go to review and will be immediately rejected.

Is there an embargo policy for abstracts and presentations?

Yes. ASGCT has an embargo policy over releasing abstracts, presentations, and ePosters. Because some events may have slightly different embargo policies, please visit the specific event page to read the embargo policy associated with that event.

What is the media release embargo?

In preparation for the embargo lift, the full text of accepted abstracts will also be made available to ASGCT’s media registrants of that event, but not made public. Please visit the event site for the exact date of this additional release. During this time frame, ASGCT’s media contacts may talk with the associated authors about the content of their abstract to prepare to release information after the full embargo release. No abstract content can be published by media participants during this time.
