ASGCT Event Policies


Privacy Policy

ASGCT does not share your registration information with any third party for purposes unrelated to the delivery of an ASGCT event or program. ASGCT shares your information with sub-processors engaged in the registration process and in the delivery of the virtual platform. Event sub-processors are obligated to conform with General Data Protection Regulation (GDPR) requirements and are precluded from using your data for promotional purposes. ASGCT may use data collected during registration to provide general and personalized information regarding ASGCT events, publications, and membership services, which you may opt out of at that time.

Waiver of Liability

There is an inherent risk of exposure to COVID-19 in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. While ASGCT is taking measures to reduce the likelihood of transmission, there remains a risk of being exposed to or contracting COVID-19 during an in-person ASGCT event. By agreeing to ASGCT’s event terms and conditions, you acknowledge that:

  • You are aware of the contagious nature of COVID-19 and the risk that you may be exposed to or contract COVID-19 by attending an ASGCT event in-person.

  • You agree to take full personal responsibility for the risk of being exposed to or contracting COVID-19 by attending an ASGCT event in-person.

  • You will not hold ASGCT accountable and agree to waive any and all claims against ASGCT should you be exposed to or contract COVID-19.

  • You agree to monitor your own health status and will not attend an ASGCT event in-person if you have been exposed to COVID-19 or if you have any symptoms associated with COVID-19, including fever or chills, cough, shortness of breath of difficulty breathing, fatigue, muscle or body aces, headaches, new loss of taste or smell, sore throat, congestion or running nose, nausea or vomiting, diarrhea, or a fever (100.4º F or higher).

  • You agree to fully comply with all COVID-19 health and safety measures and protocols that may be in place while attending an ASGCT event in-person, including the appropriate use of face coverings, vaccination reporting, and physical distancing from other attendees.

  • You understand that ASGCT reserves the right to remove any attendee from the event for failure to follow the health and safety measures and protocols that may be in place while attending an ASGCT event in-person.

  • You understand that ASGCT reserves the right to adjust its health and safety protocols to meet city and state requirements.

Attendance of Minors

To ensure everyone’s safety and to maintain an environment conducive to learning and networking, we kindly ask that attendees adhere to the following: 

  • Children ages 12 years and under are not permitted at receptions or in session rooms at any time 

  • Children ages 13-17 may attend receptions and sessions with an event badge and must be accompanied by a registered parent or guardian at all times. To register a minor that meets this criteria, please reach out to meetings@asgct.org for assistance. 

  • Event badges must be worn at all times throughout the conference and related events. 

  • Requests to include a child registration must be received in writing prior to 11:59pm CT on August 22, 2025 to meetings@asgct.org. After August 22, 2025, all changes will need to be made onsite. 

To maintain a positive learning environment for all, ASGCT kindly asks that parents or guardians promptly address any disruptive or unsafe behavior exhibited by their children. ASGCT has the right to ask parents or guardians to remove their children from session rooms, the exhibit hall, or the venue if necessary. We appreciate your understanding and cooperation in helping us make this event professional and safe for everyone!

Cancellation Policy

Cancellation deadlines and refund eligibility vary by event. Specific details regarding the cancellation policy for your registration will be included in the confirmation email you receive upon completing your registration. Please refer to that email for the most accurate and up-to-date information. If you have any questions, please contact meetings@asgct.org.

Audio Recording, Video Recording, Photography, and Distribution of Presentations and Slides

Attendees and media registrants must abide by any recording, photography, or screen capture requests by speakers at any ASGCT event.

Photography and recording for personal reference are allowed. However, attendees and media registrants may not share or republish any materials from ASGCT events, including but not limited to slides, unpublished data, or presentation materials, without explicit written permission from both the presenter and ASGCT. 

By registering for this event, you acknowledge and agree that photographs and video footage may be taken throughout the program. These images may include you and may be used by the American Society of Gene & Cell Therapy (ASGCT) for promotional, marketing, or educational purposes, including use in print, digital, and online platforms.

If you do not wish to have your image used, please contact meetings@asgct.org prior to the event.
